How Aqargenie handles information.

Effective 20 August 2026. This policy explains how Aqargenie may collect, use, store and safeguard information while powering enquiry handling, AI conversations, lead routing, property matching, reporting and agency operations.

Agency-controlled data

Each agency's workspace and lead records are logically separated. Owners decide who on their team can access buyer, broker and performance data.

Human accountability

Aqargenie assists sales teams; it does not replace legal, financial or property verification. High-impact decisions and final commitments stay with authorised humans.

1. Information we may process

  • Buyer contact details and enquiry source — WhatsApp, web forms, ads and inbound calls.
  • Conversation messages, call recordings or transcripts where lawfully enabled, language, sentiment and stated requirements.
  • Property interests, budget ranges, visit preferences, booking status and follow-up history.
  • Broker assignment, activity, response, conversion and closed-deal attribution.
  • Property inventory, availability and pricing supplied by the agency, and sold or under-offer status.
  • Technical logs, workflow execution status, security events, API usage and service diagnostics.

2. How the workflow operates

Enquiries are normalised into a single pipeline. The AI may ask qualification questions, search agency-provided inventory, draft responses, schedule follow-ups, create site-visit requests and route qualified opportunities to a broker. Each action may be written to an event log so the owner can review source, conversation, assignment and outcome.

3. Purposes and lawful use

We use information to provide the contracted service, respond to enquiries, support agency sales operations, secure and troubleshoot the platform, measure usage, improve reliability and comply with applicable law. Agencies must provide appropriate privacy notices and obtain required consent for marketing, messaging, call recording and automated processing.

4. Operating rules

  • Do not fabricate property availability, pricing, savings, investment returns or legal assurances.
  • Use only inventory and business information supplied or approved by the agency.
  • Escalate unusual, sensitive, disputed or high-value decisions to an authorised human.
  • Honour opt-out, do-not-contact and communication-preference requests promptly.
  • Do not use buyer data for unrelated agencies, unrelated campaigns or unauthorised resale.
  • Restrict dashboard access to authorised owners, managers and agents.

5. AI providers and service partners

To deliver the workflow, Aqargenie may use vetted infrastructure, messaging, voice, advertising, analytics, automation and AI providers. Only information needed for the task is shared. Providers process information under their own security and contractual commitments. We do not sell personal information.

6. Retention and deletion

Information is retained only as long as needed to provide the service, meet contractual or legal obligations, resolve disputes and maintain security. Agencies may request deletion or export of eligible data, subject to lawful retention requirements and technical backup cycles.

7. Security and access

We use reasonable organisational and technical safeguards, including access controls, credential separation, event logging and least-privilege practices. No digital service can guarantee absolute security. Agencies are responsible for protecting their credentials and promptly reporting suspected misuse.

8. Your choices and rights

Depending on applicable law, individuals may request access, correction, deletion, restriction or withdrawal of consent. Contact us with enough information to identify the relevant enquiry and agency. We may need to verify identity before acting.
